NOTE NEW INFORMATION: FACILITIES SURCHARGE
Everyone likes a good deal, but not at the expense of others. When you book your sleeping room for this year’s The ASPPA 401(k) SUMMIT, it’s extremely important that you stay at ASPPA’s headquarters hotel - Hilton New Orleans Riverside.

Here’s why: the discounted room rates that we negotiate are based on the total number of sleeping rooms and meeting space booked, so if you stay at another hotel, ASPPA is held accountable. That means ASPPA pays attrition penalties for the rooms not utilized, which could ultimately increase registration prices for everyone—hardly fair for those who stay in our hotel.

In an effort to minimize our penalties, beginning in 2012, an additional $250.00 facilities surcharge will be assessed for anyone not staying at the conference host hotel. Staying in the hotel makes it easy to enjoy the networking time with fellow attendees outside of scheduled activities. No commuting time allows for a convenient access to all of the action. Staying in the host hotel saves time, brings more opportunity to enjoy the conference, and contributes to the success of the conference.

We hope you understand the reasons behind this needed action.

*Please note the facilities fee does not apply to members of the media or to attendees living within a 50-mile radius of the conference location. Multiple attendees staying in the same hotel room are not subject to the facilities fee, provided each attendee’s name is listed on the hotel reservation.

Registration Includes:
• All Education Sessions, including the Sponsor Workshops on Sunday morning
• All continental breakfasts, luncheons, receptions and beverage breaks
• Access to audio recordings (after the conference) and session handouts
All attendees will receive an electronic confirmation sent to the e-mail address listed on the registration form. This confirmation/receipt verifies your address information, the event(s) you have signed up for and how much you have paid. Attendees are urged to review their confirmation and print for their records. If you have not received your confirmation within three weeks of registering, please contact the Conferences Department at conferences@asppa.org.

Badges
Attendees registering in advance may pick up their badge and on-site materials at the Registration Desk during conference hours. If you do not check-in at the Registration Desk to pick up your badge, you will be deemed a no-show and continuing education credit will not be issued. No refunds will be given for no-shows. Attendees will not be allowed to pick up other attendee badges/materials.

Cancellation/Change Policy
If a written request for cancellation is received by March 17, 2012, the full registration fee will be refunded minus a $100 processing fee. After March 17, 2012, the registration fee is not refundable, but can be transferred to another individual at any time, even on-site. No refunds will be given for no-shows. Please e-mail conferences@asppa.org to request a refund or make changes to your registration.

Important Information
• Educational sessions do not require tickets. Seating is on a first-come, first-served basis.  Some optional activities and events will be ticketed and applicable tickets will be included in your on-site materials.
• Guest reception tickets are available for purchase on the registration form or on-site. These tickets are not refundable after March 17, 2012. Guest tickets are not available for conference workshops or lunches.
• ASPPA is not responsible for faxes not received due to mechanical failure or circumstances beyond our control.
• Once your registration is processed, you will receive an electronic Registration Confirmation to the e-mail address listed on your registration form.

Dress Code
Attire at the conference is business casual. Feel free to be comfortable in slacks, polo shirts, sweaters, blazers, blouses, and most importantly, comfortable shoes! Remember that hotel meeting rooms tend to be cool, so be sure to being a sweater or light jacket.
